Terms and conditions of participation
NATIONAL STUDENT FESTIVAL ‘’MEDIFUN’’
  1. Organizer:
  • The National Student Festival “MediFun” is organized by LSTGM – Liga Studenților Târgu Mureș (hereinafter referred to as the “Organizer”), headquartered at Strada Nicolae Grigorescu, no. 15, 540095, Târgu Mureș, Mureș, Romania, email:office@lstgm.ro, Facebook: facebook.com/LigaUMF, website: www.lstgm.ro.
  • The festival will take place in accordance with this document, which includes the terms and conditions of participation, mandatory for all participants. The official regulations have been drafted and made public in compliance with the applicable legislation in Romania.
  1. Event location:
  1. Festival duration:
  • The “MediFun” Student Festival will take place over 4 days, from October 1, 2025, to October 4, 2025, inclusive.
  1. Right to participate:
  • Any individual aged at least 18 years by October 1, 2025, may participate in this competition, whether they are a student or not, and regardless of gender, nationality, race, ethnicity, sexual orientation, religion, or social status.
  • Exceptions: members of the organizing team, volunteers registered for this edition, and individuals who purchase passes or evening tickets intended for external participants (which only allow access to evening social activities) arenot eligible to participate in the competition.
  • Participation in the event implies full acceptance of these regulations.
    Violation of these rules may result in legal consequences for the participant.
  1. Registration procedure for the competition:
  • The organizer considers registration for the competition as implicit acceptance of these rules and regards any participant information as true and accurate.
  • To participate in the festival, participants must be registered as part of a team.
  • Teams must have a minimum of 30 participants. The maximum number of participants per team is 40. (Of the total number of people in a team, at least 10 members must be female and at least 10 members must be male.)
  • All team members are considered active members and are entitled to participate in the competition’s challenges and events.
  • Team members are entitled to participate in nighttime social activities.
  • Team registration is done by the captain via the websitemedifun.ro, where they must complete a form including the captain’s name, phone number, email, and the team name.
  • The captain will be contacted via the email provided in the form and will receive all necessary details to complete the team registration.
  • The team captain is responsible for collecting the participation fee from all team members.
  • The captain is responsible for registering the team members and must provide the organizers with the correct names of all team members.
  • A team will be considered registered once the participation fee for at least 30 participants has been paid.
  • The deadline for team registrations, along with payment for at least 30 participants, is September 21 at 10:00 PM.
  • The deadline for paying the fee for all team members is September 27 at 6:00 PM.
  • The deadline for registering rookie teams, along with payment for at least 40 participants, is September 27 at 6:00 PM.
  • Rookie teams are considered newly formed teams composed of 80% first-year students from one of the universities in Târgu Mureș.
  • The deadline for the captain to submit the final list of participants to the organizers is September 27 at 6:00 PM.
  • By registering for the competition, participants guarantee that they are at least 18 years old and can provide proof with official documents if required.
  • A participant can be disqualified at any time if the Organizer identifies any behavior considered inconsistent with this document, with the right to revoke their participation in the event.
  • In the case of any discrepancies related to the above, the Organizer will not consider the registration valid.
  1. Fees:
  • The participation fee for team members is 200 RON per member. This fee grants the right to participate in the competition with the team and in all events within the Festival.
  • The registration fee can be paid online by the team captain to the LSTGM account: RO18 BTRL 0270 1205 P493 7700, or in cash at the league’s office according to a schedule that will be communicated to the team captains.
  • The captain is responsible for sending the organizers a table with the details of the team members for whom the payment has been made.
  • The team captain is responsible for the accuracy of the contact information of all participants in the team.
  • Once the participation fee has been paid, it is non-refundable.
  • If a participant whose fee has been paid can no longer attend, the captain may assign their spot to another participant by prior notification to the main organizers.
  • Replacements can be made no later than September 27 at 6:00 PM.
  • For participants who cancel their active membership after September 27, the membership is non-transferable.
  • Access to the festival area will also be allowed for individuals not participating in the competition, these individuals are referred to in this regulation as “external persons”.
  • The price of a pass for external persons, which includes only access to the festival area and does NOT allow participation in the competition is: 230 RON (if purchased by September 15), 250 RON (if purchased from September 16 to September 31), 270 RON (if purchased during Medifun, October 1–4).
  • The price of a day ticket for external persons, which includes only access to the festival area and does NOT allow participation in the competition, is:
    • Wednesday, 1st of October: 40 RON (if purchased by September 31), 60 RON (if purchased on 1st of October)
    • Thursday, 2nd of October; Friday, 3rd of October; Saturday, 4th of October: 80 RON (if purchased by September 31), 100 RON (if purchased after 1st of October)
  1. Registration period:
  • The registration period for the competition is August 28, 2025 – September 21, 2025, except for rookie teams as specified in point 5.
  1. Team requirements:
  • Each team must have a name, flag, anthem, a special live presentation moment (choreography), a team presentation video (following the theme defined by the organizers for the current edition, with specifications provided at least 2 weeks before the event), and t-shirts in a specific color, different from the organizers or other teams colors.
  • Each team member must wear the team t-shirt or hoodie throughout the entire event.
  • In this regulation, the term “team t-shirt” also applies to hoodies.
  • The color of the organizers’ t-shirts is Antique Sapphire.
  • The team’s t-shirt color is chosen during registration and confirmed after payment for at least 30 team members.
  • The organizer is not responsible for reserving colors used by teams in previous editions. However, respecting tradition and avoiding color conflicts will be considered in the overall fair-play score.
  • Each team must have a unique name that is not similar to any other team’s name.
  • Organizers reserve the right to refuse team registration if:
    • A team with a similar, identical, or referencing another registered team has already been registered.
    • The team name is offensive to any other team, entity, person, race, nationality, ethnicity, minority, sexual orientation, religion, or social status.
    • The team name promotes a political party or politician.
    • The team name promotes a commercial brand unrelated to the event.
  • Teams are allowed to request sponsorships for t-shirts only if they notify the organizers in advance about the potential sponsor and receive the organizers approval.
  • Teams may inscribe a sponsor’s name on the team t-shirt only if the organizer has approved that sponsorship and only on the back of the t-shirt.
  • In all challenges (sports, special, and surprise), teams are allowed to participate exclusively with their own members. Exceptionally, with the agreement of all teams, a team may use members provided by other teams, provided that at least half of the participants in the challenge are from their own team.
  • Organizers do not assume responsibility for participants violations of rules and legal provisions during the event.
  1. Team leadership:
  • Each team must have a captain and two vice-captains.
  • The captain and vice-captains are appointed autonomously and independently by the team members.
  • The team captain is the primary contact person with the main organizers, representing the team.
  • In cases of force majeure or at the captain’s decision, one of the vice-captains is designated as the contact person with the main organizers.
  • The captain and vice-captains must provide the organizers with a correct and functional phone number, reachable at any time before and during the event.
  • The team captain participates in pre-event and event meetings, in cases of force majeure, one of the vice-captains will attend these meetings.
  • Only the main event organizers can call meetings with the team captains.
  • The captain and vice-captains are directly responsible for the behavior of team members.
  1. Event procedure:
  • The event takes place over 4 days (October 1–4, 2025). Registered teams will participate in various types of challenges: sports, special, and surprise. These challenges are designed and administered solely by the event organizers responsible for the competition.
  • Each team must create a presentation video, instructions regarding theme, content, format, and scoring will be provided to captains at least 2 weeks before Medifun begins.
  • Teams will receive a list of required items at least 2 weeks before the event. These items must be carried from the start of the event until used in a challenge.
  • All challenges are mandatory for all teams. Teams must participate in each challenge with the required number of members.
  • Failure to participate in a challenge results in a strike for the team.
  • Accumulating 5 strikes results in team disqualification.
  • No challenge will start until the organizer ensures all teams are informed of the challenge and its rules. If a team is notified but does not appear at the announced start time, organizers may begin the challenge 5 minutes later, and the team will receive a strike.
  • At least 15 members from each team must be present throughout the competition. These members may rotate.
  • Teams with fewer than 15 members present will receive a strike.
  • Surprise challenges will only be revealed at the time of announcement and can occur anytime between October 1, 2025 (5:00 PM) and October 4, 2025 (6:00 PM).
  • Surprise challenges may be communicated directly, by phone, email, or message (SMS/WhatsApp) to the captain and vice-captains. Teams must ensure at least one of these numbers is reachable throughout the event.
  • Special challenges include: “Black List”, team anthem, team presentation (choreography), presentation videos, and an aftermovie-style video to be made during the competition.
  • Sports challenges, their schedule, and rules will be announced at least 2 weeks before the event.
  • A team arriving more than 5 minutes late for a sports challenge loses the match, unless the present team agrees to extend the waiting time. Notification to organizers at least 30 minutes prior, for delays not exceeding 15 minutes, allows continued participation.
  • Only registered team members on the official list provided by the captain and wearing the participant wristband may participate in the competition.
  • External persons not on the official team list are strictly prohibited from participating in challenges.
  • The captain and vice-captains are strictly responsible for participants. If organizers find external participants, the team receives a strike.
  • Challenges that may harm participants reputation or endanger their lives are prohibited.
  • Within the “Grey List”, organizers may refuse challenges with sexual content, those that may harm the organizers reputation, or that could endanger life.
  1. Schedule and event locations:
  • The event schedule will be presented to participants in a structured, day-by-day format before the competition begins and may be subject to changes; These changes will be communicated to participants and will take effect only after the organizers ensure that all participating teams have been informed.
  • The detailed schedule and event locations will be available on the event website at least 2 weeks before the event starts.
  • Challenges have a predetermined order and start time, which all teams must respect.
  • All participating teams have the right to receive full information about the event schedule, game locations, and various event-related routes.
  1. Access:
  • Each registered participant who has paid the participation fee will receive a member wristband.
  • Wristbands for team members participating in the competition can be collected starting September 29, according to the collection schedule announced by the organizers.
  • Member wristbands allow participation in surprise, sports, or special challenges as well as evening social activities.
  • Wristbands for external participants allow access only to evening social activities and do NOT grant access to surprise, sports, or special challenges.
  • Member and external wristbands are non-transferable; any attempt to transfer a wristband will result in automatic cancellation of the wristband and denial of access to Medifun activities.
  • Participation in games and parties requires wearing the wristband at all times. Team members must prove their participant status upon the organizers’ request.
  • Presentation of an ID is mandatory when collecting wristbands.
  • Wristbands for external participants can be collected each evening starting from the beginning of social activities, based on a valid ticket or pass and an ID.
  • Entry to evening social activities is open to all with an access wristband, but organizers reserve the right to select participants.
  • Access wristbands for team members correspond to the number of registered participants in each team.
  • Damaged wristbands must be presented to the organizers for replacement.
  • Lost wristbands will only be replaced at the cost of registration, pass, or day ticket.
  • Certain areas of the evening social activities (e.g., backstage) are accessible only to organizers wearing an authorized BADGE.
  • Each captain will receive a personalized BADGE granting access to the special captain’s area for storing flags, materials, decorations, or attending captain meetings.
  • The following are prohibited in the evening social area:
    • Alcoholic/non-alcoholic drinks
    • Food
    • Knives, weapons, or sharp objects
    • Vuvuzelas
    • Aerosol products (deodorants, insect sprays, sunscreen)
    • Perfumes
    • Air horns
    • Bicycles, skates, scooters, or skateboards
    • Chairs or coolers
    • Chains or wallets with chains
    • Drugs or drug accessories
    • Fireworks, explosives, or fire rockets
    • Guns, ammunition, or lasers
    • Laser pointers
    • Bottles
    • Pepper spray
    • Pets or other animals
    • Toy guns, water guns, or slingshot guns
    • Flagpoles or similar objects for flags
  • The following are allowed in the evening social area:
    • Flags without poles
    • Medium backpacks (A4 size)
    • Photo and video cameras
    • Lipstick and lip balm
    • Cigarettes and lighters
    • Heated tobacco devices
    • Eye drops
    • Waist bags and hip bags
    • Hand sanitizer and baby wipes
    • Hats
    • Mobile phones and chargers
    • Power banks
    • Handbags and purses
    • Small blankets and towels
    • Sunscreen, deodorant, mosquito repellent (non-aerosol)
    • Sunglasses
    • Over-the-counter medication
    • Special items from the team’s supply list
    • Items requested by organizers for certain surprise challenges
  1. Scoring:
  • Teams can earn points by completing challenges during the event, according to the rules specific to each challenge (as communicated by the responsible organizer before the challenge).
  • Teams may also be scored at the end of the event based on criteria established and communicated in advance (at the same time as the scoring method), such as punctuality, fair play, originality, etc.
  • Only for October 1 and 2, 2025, the scores of each team will be communicated to each team captain, while the final results will be announced during the Awards Ceremony on the last evening of the event. The organizer is responsible for transparent and accurate management of earned points.
  • The top three teams with the highest accumulated scores throughout the Festival and final ranking will be declared winners.
  • The scoring method will be presented to the captains at least 2 weeks before the competition starts and will be annexed to this regulation.
  1. Sports:
  • The sports played at Medifun 2025 are:
    1. Men’s Football (5 players + 1 goalkeeper)
    2. Basketball (5 players: 2 girls, 3 boys)
    3. Volleyball (6 players: 4 girls, 2 boys)
    4. Mixed Table Tennis (1 boy + 1 girl)
    5. Climbing (1 boy + 1 girl)
    6. Table Games (1 person, any gender)
    7. Bubble Football (4 girls + 1 boy)
  • Detailed rules for each sport and scoring will be announced at least 2 weeks before the event.
  1. Sanctions:
  • If a member fails to fulfill obligations, disobeys organizers instructions, behaves aggressively, socially, morally, or legally unacceptable, or makes offensive comments, organizers may refuse the person’s participation or remove them from the venue (cutting the wristband) without refund.
  • Captains may request removal of a team member if they consider the member’s behavior aggressive, socially, morally, or legally unacceptable, or offensive.
  • Attendance at scheduled activities is mandatory, missing five challenges results in team disqualification.
  • Teams accumulating five strikes will be disqualified.
  • Allowed delays: 5 minutes for challenges, 5 minutes for sports. For delays beyond the team’s control, the participant must notify the organizer in advance, such delays will not result in losing the challenge.
  • Failure to have the required number of members for challenges results in a lost challenge and a strike.
  • Theft or damage of another team’s flag or items is strictly prohibited and may result in team disqualification.
  • All forms of theft are strictly prohibited; proven offenders will be excluded from the festival by wristband removal.
  • If multiple team members behave violently or aggressively, organizers may eliminate the team even if it has not reached five strikes.
  • Unauthorized appropriation of another team’s property may result in:
    a) Non-participation in challenges for 24 hours for the entire team
    b) A -5% penalty to the team’s final score
    c) Exclusion of responsible participants by wristband removal
  • Verbal, physical conflicts, and bullying (including online) are prohibited; violations may result in the same sanctions as above.
  • Maintaining the integrity of materials and intellectual property at Medifun locations is mandatory; damages are compensated by the offender or, if unknown, by the entire team.
  • Bringing drinks/food into the evening social activity area is prohibited; organizers may confiscate these items.
  • Possession, consumption, and distribution of illegal drugs during the event are strictly prohibited and may lead to disqualification and legal prosecution.
  • If team t-shirts contain offensive text/images or promote a political party, candidate, or commercial brand (without organizers approval), organizers may refuse the team’s participation by wristband removal without refund.
  • If a team flag contains offensive text/images or promotes a political party, candidate, or commercial brand, organizers may confiscate the flag without return.
  1. Personal data protection:
  • The organizer does not aim to collect or use personal data within this festival.
  • By participating in this competition, each participant expressly and unequivocally agrees to:
    ✓ The collection and processing by the organizer of information regarding their personal Facebook account, the email used to validate their registration, and any data provided for this purpose. Winners also consent to provide data, including but not limited to: name, age, occupation, phone number, email, city of residence, etc., for the purpose of awarding prizes established in these regulations.
    ✓ The storage and processing of this data for purposes other than those mentioned above, such as advertising, marketing, and promotion.
  • The organizer will maintain the confidentiality of winners personal data and will use it only for the purposes established by the regulations.
  • Participants have the right to refuse, at any time, free of charge and without justification, the processing of data provided for marketing purposes or disclosure to third parties for such purposes. Participants may object to the processing of personal data at any time for justified reasons related to their personal situation.
  • By participating in Medifun, all participants automatically accept the terms and conditions of the event and agree that the organizers or any third parties authorized by them may create, during the event, any audio/video materials, images, screenshots, or photographs. All rights to these materials belong to the organizers. By signing this document and agreeing to the terms and conditions, participants consent to the organizers using their image in such materials or any other communication materials, indefinitely, including through distribution, publication, reproduction in any form, online or offline, including in the press, broadcast media, and social media platforms such as Facebook and Instagram.
  • Participants have, in accordance with Law no. 129/2018 on the protection of individuals regarding personal data processing and free circulation of such data (as amended), the right to be informed, right of access, right to object, right to intervene on data, right not to be subject to an individual decision, and the right to seek legal remedies.
  1. Disputes:
  • Any disputes between the organizer and competition participants will be resolved amicably.
  • The organizer reserves the right to select and/or refuse participants.
  • The organizer assumes no responsibility for claims from third parties or institutions regarding prizes won by participants.
  • The organizer assumes no responsibility for mobile network or Internet outages.
  • The organizer assumes no responsibility if participants provide false or incorrect information.
  • The organizer is not liable for disruptions in the competition caused by third parties, such as electricity providers, operators, legal authorities, telecom network owners or administrators, or similar entities.
  • The organizer is not responsible for content generated, statements, or behavior of registered participants, nor for the consequences arising from these actions.
  1. Event regulations:
  • The event regulations are available on the websitemedifun.ro.
  • Participation in this event implies the irrevocable and unconditional acceptance of the provisions of these regulations and the obligation to comply with them.
  • The organizer reserves the right to modify these regulations at any time if necessary, provided that the changes are announced onmedifun.ro. The amendments/updated version of the regulations shall take effect only after being published online.
  • The festival regulations are drawn up in accordance with Romanian law.
  • In case of non-compliance with any of the rules in these regulations, the organizers will suspend the team’s right to participate in any competition until the team complies with the rules.
  • The organizer assumes no responsibility for injuries occurring during the competition or during the evening social activities.
  • The organizer assumes no responsibility for illegal acts such as violence, theft, incitement, consumption of substances prohibited by law, driving under the influence of alcohol or other substances, whether during the competition or during evening social activities. The organizer will cooperate with the competent authorities and provide all necessary data to sanction those who commit illegal acts, in accordance with the law.
